For students

Your training and account

Use your instructor’s invitation or the verified email on your student record. Your instructor handles training decisions and lesson charges.

Lessons & scheduling

On the web, open your student record’s Schedule; in the native app, open Training, then Schedule. Review the date, time, location, and instructor. If cancellation is available, read the displayed terms before confirming. Otherwise contact your instructor to change the lesson. A scheduled appointment is not a completed logbook entry.

Training, logbook & progress

Open Training History or Training to read completed lessons and feedback. Pilot Logbook shows your entries, totals, and available export tools; Progress connects requirements to training evidence. Review your endorsements and signed copies as well. Ask your instructor to correct signed training records. Your free personal logbook is a separate account experience.

Quizzes & resources

Open Quizzes in your training record, check the due date and instructions, save answers as you work, then submit when ready. Written answers may need instructor review before the result is final. Review feedback and any shared Resources; your instructor controls which resources are available.

Agreements & documents

Open Agreements, read the complete document, fill required fields, and confirm your signature only when you agree. Reopen the completed record to check the saved copy. Documents contains shared files and any knowledge-test review guides. Your instructor manages filing and corrections; contact them about missing or outdated evidence.

Invoices, receipts & payment methods

Open Payments on your student record, or Payment methods from More in the native app. Review invoices and paid receipts. Only you can authorize and manage your saved bank account or card. Check the amount, available card or bank choices, and any disclosed credit-card fee before paying. Debit, prepaid, bank, and unknown card funding do not receive that surcharge. Paid emails include the receipt and training summary. Check the payment result before paying again. Ask your instructor about a charge, cancellation fee, or refund.

Account, access & saved work

Sign in with the verified email on your invitation or student record, including when using Google. Check the selected workspace if records are missing. Use Settings for your password, account security, and native device storage. Reconnect and check Sync status before clearing downloads or signing out. In-app Support Chat can offer guidance and an optional human handoff; it cannot inspect your live training or payment records.

Complete these in order. Google, Stripe, and student-facing resources can wait until you intend to use them.

First-time setup

    Create and identify the workspace

    Your preferred name, workspace name, and workspace URL establish the private tenant used for every student and record.

  2. 02

    Save operating defaults

    Set the time zone, home airports, instruction rate, and route defaults before entering live training. Online payments become available when Stripe setup is ready.

  3. 03

    Complete the instructor profile

    Enter your certificate information, display name, and an authorized signature. Signed workflows depend on this profile.

  4. 04

    Choose optional integrations

    Connect Google Workspace and Stripe only when you are ready to use calendar, Drive, invoicing, or saved-payment features.

    Prepare student-facing content

    Prepare the agreement language and student resource page you want a new student to receive.

    Add the student, assign the current program, confirm starting experience, and then invite portal access from the student record.

  • Confirm student status, program, documents, agreements, and open progress items.
  • Check aircraft, instructor currency, and Google sync or cancellation decisions that need attention.

  • Record the lesson once and verify the success message before leaving the page.
  • Confirm training content, paired student/instructor logbook values, billing choice, and signature evidence.
  • Assign follow-up resources, a quiz, or an endorsement only after reviewing the exact student-facing content.

Everyone

Accounts, roles, and workspaces

Know which workspace and role you are using before you touch live student data.

  1. 1

    Create the first workspace

    After signing in, choose the account path that fits: a free personal logbook, an existing student or aircraft invitation, or a teaching workspace. For a new teaching workspace, enter your preferred name, workspace name, and unique workspace URL. The creator becomes the owner.

  2. 2

    Understand role boundaries

    Owners and admins manage business configuration. Instructors operate assigned training workflows. Students see their own protected training records; the personal logbook and aircraft access are separate account experiences. Controls become hidden or read-only when a role cannot use them.

    Switch workspaces safely

    If your identity belongs to more than one workspace, use the workspace switcher. The selected workspace determines which students, records, and settings are visible.

    Protect the session

    Sign out on shared devices. Student invitations and emailed signature requests are private, expiring links for the intended recipient only.

Workspace and training defaults

Configure the values that should prefill future training and business records.

    Set workspace identity

    Save the workspace name and operating time zone. Dates, appointment displays, and reports depend on the correct time zone.

    Set operating defaults

    Add up to five home-airport identifiers, the normal hourly instruction rate, and whether billing will run through DualGiven or outside the app.

  3. 3

    Set route defaults

    Choose default departure and arrival airports to prefill new training entries. Change them on an individual lesson when the actual route differs.

  4. 4

    Review before saving

    Defaults reduce repeated entry; they do not replace the instructor’s review of the actual route, rate, lesson, or billing decision.

Instructor identity, signature, and credentials

Establish the identity and signature evidence used by future signed records.

    Save instructor identity

    Enter the preferred name, certificate number, and the display name printed on signed records.

    Authorize a private signature

    Draw with a finger, stylus, trackpad, or mouse, or upload a PNG/JPEG. Confirm the authorization before saving it.

    Track recent experience

    Save the optional CFI recent-experience end date and maintain pilot, medical, rating, and instructor qualifications under Instructor Logbook > Credentials.

    Keep evidence current

    DualGiven’s currency displays are operational aids. Verify the applicable FAA requirements and source records before exercising privileges or signing.

Student onboarding, access, and lifecycle

Create the student once, connect a current program, and grant portal access without weakening record ownership.

  1. 1

    Add the student and program

    From Students, choose Add student. Enter the name, optional email, current training program, start date, optional planned checkride, and whether starting experience comes from a logbook, reviewed summary, or a later decision.

  2. 2

    Complete the student record

    Use Overview to maintain the student profile and program. Prior program history remains available when the current program changes.

  3. 3

    Invite portal access

    Confirm the student email and send the invitation from Portal access. Use the account email attached to the student record and complete email verification. Google sign-in must use that same email to match automatically; another email does not claim the record. The private invitation expires after seven days. Revoke and resend when needed; never forward an old invitation.

  4. 4

    Preview before delivery

    Use View as student to inspect Schedule, Payments, Training History, Pilot Logbook, Progress, Endorsements, Quizzes, Documents, Agreements, Activity, and enabled Resources.

    Pause or resume training

    Make the relationship inactive when training pauses. The record becomes read-only but stays exportable. Reactivate the existing record when training resumes.

    Export the complete record

    Use Export complete record from the student navigation to prepare a portable package of the canonical training history.

Scheduling, Google Calendar, and cancellations

Plan training, reconcile Calendar changes, and keep scheduled intent separate from completed evidence.

  1. 1

    Create and review appointments

    Use the calendar or agenda to create an appointment, select the student, and record the time and appointment details. Filter the schedule by date or student as needed.

  2. 2

    Connect Google Calendar

    In Google Workspace settings, connect the account, choose an eligible calendar, save the sync choice, and use Sync now to reconcile changes.

  3. 3

    Resolve reconciliation items

    Confirm or ignore Google events that cannot be matched safely. Retry the connection from Settings when authorization or calendar access changes.

  4. 4

    Complete the lesson separately

    After training occurs, open the student and record the actual lesson. Link the schedule item when offered, but use the facts from what actually happened.

  5. 5

    Decide cancellation fees

    If the payment policy enables late-cancellation reviews, an in-window cancellation creates a private instructor decision. Choose Charge cancellation fee or Do not charge. DualGiven never charges merely because an appointment was cancelled.

    Set lesson reminders

    In Settings > Scheduling, enable automatic reminders for lessons you teach, choose 1–7 days, and preview the cancellation policy or additional message. Verify the reply-to account email first. Reminder wording does not change the cancellation fee policy.

Training records, corrections, and progress

Enter each lesson once and preserve a trustworthy chain from training content to logbook, billing, and signature evidence.

    Start from the student

    Open an active student with a current program and choose Record training. Confirm the selected program, phase, lesson, and appointment.

  2. 2

    Record what happened

    Enter training content, date, aircraft or ground/simulator activity, route, remarks, student logbook values, instructor logbook values, and landings or instrument procedures as applicable.

  3. 3

    Choose the billing result

    Review the available billing choices: Not billed yet, Paid in person, Email online invoice, or an eligible saved-method charge. Native iPhone also offers Tap to Pay when setup is ready. Billable training time remains separate from pilot flight time, and the saved rate and amount become the financial snapshot.

  4. 4

    Review and sign

    Confirm the complete lesson and signature intent. Confirm the lesson is saved to the workspace, with paired logbook values and signature evidence. Invoice delivery, charges, and attachments can need separate follow-up; a locally queued lesson is not yet server-confirmed.

    Correct without hiding history

    Use Correct and re-sign for a signed lesson. Use archive and restore for records that should leave or return to active history. Archived / Deleted preserves the audit trail.

    Use Progress as a decision aid

    Progress connects curriculum requirements to evidence and review status. Confirm the underlying logbook, endorsements, documents, and instructor judgment before treating an item as complete.

Instructors and pilots; student training entries remain controlled

Instructor and student logbooks

Use one authoritative pilot history for entries, totals, people, credentials, aircraft, endorsements, and exports.

  1. 1

    Review and filter entries

    Use Entries for the chronological logbook and filter instruction, personal flying, ground activity, or items needing review. Add personal, training-received, or ground records when they are not created by a student lesson.

  2. 2

    Review totals and currency

    Totals & Experience summarizes hours, categories, recent experience, and currency aids for all time or a selected period. In the native Aircraft tab, tap an aircraft-type row to review its logged flight totals, including PIC, dual, instrument, and cross-country time. This breakdown uses detailed aircraft flights in the selected period; prior totals, ground sessions, and training devices are excluded.

  3. 3

    Maintain People

    People connects students, instructors, pilots, crew, and passengers to flights. Search, add, edit, and find associated flights without rewriting them.

  4. 4

    Maintain Credentials and Aircraft

    Credentials stores pilot, medical, rating, and instructor facts. Aircraft stores identifiers and characteristics used for entries, totals, and currency calculations.

  5. 5

    Review endorsements and export

    The Endorsements view keeps issued and received records with the pilot history. Use Export for supported PDF and data outputs. Students can review their training logbook and supported profile and export tools; their instructor manages changes to signed training. A free personal logbook has its own entry tools.

    Inspect supporting currency records

    On iPhone and iPad, Totals has Overview, Experience, Currency, and Aircraft tabs. Open a currency row to inspect supporting records and its flight details before relying on the summary. Instructor Dual Given and student Dual Received describe different sides of the lesson.

Instructor

Logbook imports, duplicates, and signed PDFs

Stage, match, duplicate-check, and review imported evidence before it can affect the logbook.

  1. 1

    Upload the source

    Upload a supported logbook PDF, CSV, TSV, or TXT file up to 20 MB. Review the detected provider, including ForeFlight or LogTen, and the proposed rows. Analysis continues as a durable background workflow after the private upload is preserved.

  2. 2

    Review flight facts

    Classify personal versus instructional rows, match instructional rows to existing students, add a missing student when appropriate, and resolve duplicate candidates.

  3. 3

    Approve deliberately

    Include, exclude, or skip duplicate rows. Confirm only approved rows after every unresolved item is addressed.

  4. 4

    Confirm student values

    After instructional imports, separately review student PIC eligibility, simulated instrument time, and approaches. Instructor totals are unchanged by these decisions.

  5. 5

    Enrich with a signed PDF

    A signed PDF can attach visible source signatures to matching existing flights and import complete received endorsements. It does not replace authoritative flight facts.

  6. 6

    Recover safely

    Use Retry analysis or Analyze preserved PDF again instead of re-uploading when the original is intact. Correct a mismatched existing entry before reanalysis when needed.

  7. 7

    Review aircraft details

    Imports can suggest missing aircraft profile information. Check registration, type, class, and engine details and resolve conflicts without overwriting established facts blindly. Duplicate review is a separate confirmation step; importing a file twice is not a recovery method.

Documents, compliance review, email intake, and Drive

Preserve private originals, review automated proposals, and file each document to the correct student.

    Upload to the private intake queue

    Upload one to five PDF, JPEG, PNG, WebP, HEIC, or HEIF files totaling no more than 40 MB. DualGiven preserves the originals before preparing review details.

  2. 2

    Use email intake when convenient

    Send supported attachments to docs@email.dualgiven.app from an email address that resolves to one workspace. Unknown or ambiguous senders and unclear student matches fail closed instead of filing to the wrong record.

  3. 3

    Confirm and file

    Choose the student and category, correct the display label, document type, expiration or next-due date, and optional notes, then confirm. Nothing enters the student record before this step.

  4. 4

    Use aviation-specific preparation carefully

    The queue can prepare medical dates, pilot-certificate facts, passport workflows, and front/back certificate combinations. These remain instructor-reviewed decisions.

  5. 5

    Manage the filed record

    Open the student Documents page to download, archive, restore, or retry a genuinely failed Drive backup. Google Drive backup is optional and does not replace the private record.

  6. 6

    Review knowledge-test reports

    For a knowledge-test score report, verify the pilot, test, score, dates, and missed-topic codes before confirming. Open the saved knowledge review guide from the student Documents area and review its source-based explanations with the student.

Instructor

Endorsements, templates, signing, and revocation

Move from authoritative source wording to an immutable signed record without skipping instructor judgment.

  1. 1

    Start from the right source

    Search the current FAA sample library, choose a reusable custom template, or enter one-time wording. The instructor remains responsible for applicability.

  2. 2

    Complete the final wording

    Choose the student, issue date, optional expiration, and every template variable. Review the exact final signed wording before continuing.

  3. 3

    Sign or request a signature

    Issue with the authenticated instructor signature, sign together in person when adding a received endorsement, or send a private email link. Emailed links expire after seven days.

  4. 4

    Use issued and received records

    Open signed PDFs or print cutouts from Issued and Received. Received endorsements belong to the instructor pilot logbook; issued endorsements belong with the student record.

  5. 5

    Maintain custom templates

    Save reusable instructor-owned wording with explicit placeholders. Every use still requires final review and an authenticated signature.

  6. 6

    Use the Endorsement Advisor

    Open the student Endorsements page or native Endorsement Advisor, choose the student, and review the current training phase. Needed now, Checkride packet, and Training endorsement history group the evidence. Open FAA source, Prepare missing wording, or Print cutout for an existing signed record. A checklist status is not an eligibility determination.

  7. 7

    Review outside and citizenship evidence

    Open the original private document before deciding its review status. A recognized passport can queue TSA citizenship evidence review; it does not automatically verify it. Authorized instructors record the review and notes, then refresh the advisor. Programs without an assigned checklist still retain signed records and outside evidence.

Quizzes, source material, assignment, and review

Build from documented source material, complete an instructor review, and assign an immutable student snapshot.

  1. 1

    Use or print the supplied library

    Open a ready-to-use quiz, print a student copy, choose a version, and optionally include the answer key.

  2. 2

    Create account-specific material

    Upload source files or add source descriptions and URLs, define the learning objective and question mix, and generate or edit a 3–30 question quiz.

  3. 3

    Complete question review

    Verify every prompt, correct answer, partial-credit rubric, explanation, and authoritative source. Confirm instructor review only when the complete set is ready.

  4. 4

    Assign and follow up

    Choose an active student, optional due date, passing threshold, instructions, and whether answers appear after submission. Review attempts, scores, and written responses flagged for instructor review.

    Maintain the library

    Save an account version, reset an inherited quiz to the DualGiven default, and archive or restore custom quizzes without changing prior assignments.

Training agreements and immutable consent

Manage reusable workspace terms while preserving the exact agreement each student receives and signs.

    Create the template

    Enter the template name, revision, and description. Use the document editor to organize sections, paragraphs, lists, formatting, and signature fields; review signer, placement, and required fields in Preview. On iPhone and iPad, use Details, Document, Fields, and Preview to review the template before saving; sending and student signing are separate actions. Select the default when appropriate.

    Preview safely

    If your workspace includes a Test Student, its agreement page shows the exact student-facing content without email, an agreement row, an audit delivery event, or a signature.

  3. 3

    Send to a live student

    Use an active, non-test student with a valid delivery email. Confirm the template and revision before sending the protected signing experience.

  4. 4

    Track completion

    Use the student Agreements page to review sent and completed records and open the preserved agreement evidence.

  5. 5

    Archive or restore templates

    Archive language that should no longer be offered and restore it only after confirming it is still appropriate. Historical agreements are unaffected.

Student resources and ground school

Publish a structured, protected student library without exposing unfinished material.

    Configure the page

    Set the page title, introduction, card or compact layout, and whether Student Resources is visible in student navigation.

    Configure ground school

    Optionally show a ground-school section with a heading, description, button label, and destination website.

  3. 3

    Organize the library

    Create ordered sections, add descriptions, choose accent styling, move documents between sections, and keep titles student-friendly.

    Add private files or links

    Upload protected documents directly or add a web address. Removing an uploaded file archives it rather than silently destroying the record.

    Open the student resource page and check every link and file before enabling it. Students see the page only when it is enabled.

Stripe, invoices, saved payments, receipts, and subscription

Keep subscription, invoicing, saved methods, cancellation decisions, receipts, and business reporting clearly separated.

  1. 1

    Choose the workspace billing model

    General settings records whether you bill through DualGiven or elsewhere. The separate DualGiven subscription page manages the software subscription itself.

  2. 2

    Connect the instructor Stripe account

    In native Billing settings, payment locations, policy, and receipt branding appear before the Stripe account section. Open that account section to complete onboarding or refresh readiness. Students pay under the instructor business identity; payouts, disputes, refunds, and ordinary processing fees remain with that connected business.

  3. 3

    Set future payment rules

    Choose allowed payment methods, whether the configured credit-card fee is absorbed or passed through, and the late-cancellation window and amount. The credit-card rule applies to saved-card charges, emailed invoices, and Tap to Pay. Debit, prepaid, bank, and unknown card funding do not receive that surcharge. Check the disclosed totals before payment; receipts show the fee actually collected. Existing issued invoices and previously prepared payments retain their original amounts.

  4. 4

    Brand future receipts

    Set the business name, receipt prefix, email, phone, address, website, footer, and logo. Historical receipt snapshots remain unchanged.

  5. 5

    Handle lesson billing

    Not billed yet creates no provider command. Paid in person records the method and actor. Email online invoice sends the detailed invoice in HTML and plain text, with its PDF and secure payment link; it does not automatically charge the student. The invoice page shows available card and bank choices and any credit-card fee. Choose the intended method there before entering payment details on Stripe.

  6. 6

    Use saved payment methods carefully

    Only the student can add, select, or remove a saved bank account or card after accepting Stripe authorization. A cancellation fee still requires an explicit instructor decision.

  7. 7

    Reconcile and issue receipts

    Use student Payments and Training History plus Reports for unbilled flights, sent or past-due invoices, recorded payments, and paid receipt PDFs. Paid emails include the receipt and training summary; flight time and billable instruction time can differ.

  8. 8

    Review saved-method charges

    When Charge saved payment method is offered, check the selected authorized method, exact amount, fees, and receipt email before signing. A saved lesson and a successful charge are separate results. Review the payment status before retrying.

    Accept a contactless payment

    On a supported iPhone, configure the Tap to Pay location in Billing settings after Stripe is ready. The customer sees that location name. Sign and sync the lesson first, then use Accept payment while the customer is present. Review the quoted credit-card total and the base amount for debit or prepaid cards before collecting the card. The lesson stays unpaid until Stripe confirms payment. On iPad, use the paired-iPhone handoff when offered and finish on that iPhone.

    Check invoice and receipt delivery

    Open the existing lesson or invoice to inspect status, share its payment link, or retry failed delivery where offered. Paid-in-person receipt email waits for sync and a student email. An attached lesson track can appear on the invoice or receipt; check the attachment before sharing.

Notifications, reports, activity, and exports

Turn notifications into decisions, reports into business review, and activity events into trustworthy operational evidence.

    Work the attention queue

    Notifications brings due, failed, or review-needed work into one place. Mark read when acknowledged, dismiss when resolved, and restore dismissed items if follow-up returns.

  2. 2

    Review business performance

    Training Reports summarizes student counts, dual-given hours, recorded payments, monthly activity, accounts receivable, unbilled flights, and outstanding invoices.

  3. 3

    Use Portal Activity for accountability

    Search by student, actor, or action and filter by source. Append-only history covers high-value student, training, document, agreement, quiz, scheduling, billing, integration, and access events.

    Use student-specific activity

    The Activity tab inside a student record narrows history when answering a delivery, access, training, or record-change question.

    Export from the source of truth

    Use Instructor Logbook Export for pilot-logbook outputs and Export complete record for a student package instead of rebuilding history by hand.

Troubleshooting, recovery, and data safety

Investigate from visible evidence, avoid duplicate writes, and escalate with tenant-safe details.

  1. 1

    Capture visible evidence

    Note the page, workspace, affected student, local date and time, exact message, expected result, and last button used. Take a screenshot that excludes unnecessary private data.

  2. 2

    Check whether anything saved

    Refresh once, inspect the student record or queue, and open Portal Activity. Do not repeat a submission, invoice, invitation, signature request, import confirmation, or charge until you know the first attempt failed.

  3. 3

    Use the feature recovery path

    Retry a failed Drive backup, reconnect or sync Google, refresh Stripe status, retry preserved import analysis, reanalyze a preserved signed PDF, or resolve the pending review instead of starting over.

  4. 4

    Escalate with useful details

    Provide the activity event, safe screenshot, page address, approximate timestamp, expected result, and what you tried. Support can inspect deeper service logs without exposing other tenants.

  5. 5

    Preserve ownership and portability

    Workspace access is controlled by the instructor organization; each student canonical training history remains exportable. Access, billing, integration, and status changes do not erase it.

    Use in-app Support Chat

    In Settings > Support, open Support Chat for guidance. It cannot inspect your live records or perform account actions. If it offers a human handoff, review and confirm the handoff yourself. AI support is available only inside the signed-in app; the public website provides this written guide.

Pilots using a personal account

Free personal logbook

Keep your own flight history without creating a teaching workspace.

  1. 1

    Start with the free logbook

    Choose the free Pilot Logbook account path and verify your email. On the web, open Personal Logbook; in the native app, open the free logbook experience from your account.

  2. 2

    Add and review flights

    Create or edit personal flight, training-received, ground, or simulator entries using the available fields. Review dates, aircraft, route, time categories, landings, approaches, people, and remarks. Review the saved entry before adding another.

  3. 3

    Keep supporting profiles

    Use People, Aircraft, Credentials, and Endorsements alongside Entries and Totals. Review signature identity and consent when signing; do not represent an unsigned record as an instructor-signed lesson.

  4. 4

    Import and export

Transfer reviewed records and track what was actually delivered.

    Export new ForeFlight entries

    Open Logbook > Export and choose Export new entries. Import that CSV in ForeFlight, inspect the result, then return to confirm the imported file. Downloading alone does not confirm an import.

    Review edited ForeFlight flights

    Use Review edited flights for previously exported records, including changed dates. Compare the saved values and update the matching ForeFlight entry manually, then mark that reviewed revision complete. CSV cannot update an existing ForeFlight record; importing it again can create duplicates.

    Send entries to LogTen

    Choose Not yet handed off or Eligible entries in date range, then approve each batch in LogTen. Return for Send next batch until the selection is complete. The handoff includes supported aircraft, route, and crew details. Verify those details in LogTen.

    Review keys and retries

    LogTen can match earlier API handoffs by their DualGiven key. Existing CSV-imported flights may not have that key, so review duplicates before resending. Handoff initiated is not confirmation that LogTen accepted the records. Use Export history to inspect a run or retry its handoff.

    Create reports and archives

    Choose PDF layout and all entries or a date range. On iPhone and iPad, open the downloaded report in the native PDF viewer to review it before using the viewer’s save or share actions. Other options provides complete or date-range CSV archives without changing new-entry status. Do not import a complete archive into an already populated ForeFlight logbook. A Complete pilot logbook PDF is available when the account has additional workspace records.

Lesson track logs and flight maps

Attach the flights that belong to a lesson and review map evidence before saving.

    Start from the exact lesson

    In the lesson draft, enter the student, date, and aircraft registration before Add track logs. For an existing record, open its track view. Online provider lookup requires connectivity and the relevant paid access.

  2. 2

    Select the flights

    Choose Find flights, review their times, and add the segments that belong to this lesson. Inspect the route using street, VFR sectional, or IFR low views where available. Use playback and the altitude/groundspeed chart to examine the flight. Edit tracks can remove a wrong segment without changing logged flight time or landings. Missing coverage is not evidence that a flight did not occur.

    Review landing suggestions

    Track analysis can suggest landings. Confirm the actual count and type yourself before using it in the lesson; estimated landings never replace instructor judgment.

    Save and check attachments

    Return to the same draft, review the lesson, and save once. Changing student, aircraft, or date requires checking the track selection again. After sync, open the saved lesson to confirm the attachment and any map included on its invoice or receipt.

Offline work, sync status, and device storage

Protect work saved on a device until it is confirmed in the workspace.

    Prepare before losing connectivity

    Open the needed workspace and records online first. Supported native flight capture, signatures, and scans can be saved locally; AI analysis, provider lookups, payments, and email delivery require a connection.

    Check Sync status

    After reconnecting, inspect Sync status and waiting or failed items. Use the available retry or refresh control, then reopen the record to confirm it saved. Refresh other devices before comparing the same record.

    Separate lesson and payment results

    A lesson can sync while invoice delivery, a track attachment, or payment still needs attention. Follow the existing record’s recovery action; do not create a second lesson or charge.

    Preserve waiting work

    Before signing out, switching accounts, deleting the app, or clearing device storage/downloads, make sure there is no unsynced work. If status stays unclear, keep the device data and contact support with the visible message.

Account security and branded website access

Maintain account access and give students the correct entrance to your workspace.

    Manage security

    Use Settings > Profile & Security for the available profile, password, and two-factor authentication controls. Complete authenticator setup and verification before relying on it. Use the sign-in recovery flow if you cannot access your account.

    Keep account identities consistent

    Use the verified email associated with your invitation or student record. If access is missing, confirm the workspace and account before creating a new student or teaching workspace.

    Configure the branded entrance

    In Website integration, set the school or instructor name, HTTPS website, button color, and PNG/JPEG logo, then enable the branded portal link. The name, logo, and website become public; training records remain private.

    Add it to your website

    Copy the portal link into a website button or use the supplied button HTML. Preview the sign-in page and test the destination. Sharing the portal entrance does not grant student membership or replace an invitation.

Aircraft operations, reservations, and dispatch

Use the aircraft operation’s workspace for shared scheduling and rental records.

    Open aircraft access

    Choose Aircraft access and the operator. Managers maintain Aircraft and People; invited instructors and renters see the areas their role permits. A fleet invitation does not itself create a paid teaching workspace.

    Set up the operation

    Managers configure each aircraft’s Hobbs or tach billing, wet/dry rate, payment business, and schedule visibility. Invite people, approve aircraft access, set evidence requirements, and review uploaded evidence and expiration dates. Uploading is not approval.

    Reserve and dispatch

    Use Schedule to select the aircraft, time, pilot, and instructor where available. Review conflicts, required evidence, and aircraft holds before checkout. Record actual meter readings at check-in; a reservation alone is not a completed flight or training lesson.

    Set instructor availability

    Invited instructors use My availability to enable booking, set their instruction rate and payment business, and add or remove bookable time.

    Record maintenance decisions

    Report issues and an aircraft hold when needed. Managers record resolutions and inspection completion with supporting references. Date and tach reminders do not replace maintenance records or dispatch judgment.

    Review payments and fuel

    Payments shows invoices, settled prepaid cash or aircraft-specific hour blocks, offers, and fuel expense reviews. Managers approve or reject fuel claims. Check the displayed price and balance before paying; approved fuel credit is distinct from a qualifying cash balance.

    Keep documents and training separate

    Documents stores aircraft and rental evidence within the operation. After a teaching flight, use the linked training workflow where offered and review the lesson separately. When an operation is read-only, existing records/payments remain accessible and aircraft already flying can still be checked in.
